AI Transformation Advisor

Your team repeats the same work every week. That’s money.

AI can get some of it back. You know the repetitive task that hurts most. I put a real dollar figure on it, automate it with your team in 4–6 weeks, and show you, in hours and dollars, exactly what you got back. One task at a time. No hype, no jargon, 30 years of making technology actually work.

The most expensive work in your business looks normal.

Somebody re-types the same client info into three different systems. Approvals sit in an inbox for two days. The same report gets built by hand every Monday. Nobody complains. It’s “just how we do it.”

Add it up and it’s real money: hours of payroll every single week, spent on work an AI system should be doing.

Here’s what most companies do about it: buy AI subscriptions for everyone and hope. That doesn’t work: speeding up a messy process just makes the mess happen faster.

Here’s what works, and it’s deliberately boring: pick one repetitive task. Measure what it costs you. Automate the repeatable parts. Train one person on your team to run it. Prove the savings with a number. Then, and only then, move to the next task. That’s what I do.

What does this actually look like?

Invoices

Before

Your bookkeeper re-types every vendor invoice into the accounting system. 5 hours a week.

After

Invoices are read and entered automatically; she reviews and approves in 30 minutes. That’s roughly $5,000 a year back, from one task.

New client intake

Before

Every new client’s info gets copied by hand into your CRM, your project tool, and a welcome email. 4 hours a week, plus the typos.

After

Enter it once. Everything else fills itself in.

Weekly reporting

Before

Someone spends every Monday morning building the same status report from three spreadsheets.

After

The report builds itself Sunday night. Monday starts with decisions, not data entry.

These are illustrations of the kind of work I automate. Your numbers come from your audit, not my marketing.

Three ways to start, smallest step first

Start free. Each step tells you whether the next one is worth it.

  1. Step 1: Free

    Free

Find out what repetitive work costs you

A 4-minute set of plain-English questions about how your business runs day to day. No tech knowledge needed. If you can describe your team’s week, you can answer them.

    • A dollar figure on each of your biggest time drains, up to three
    • The one worth fixing first, ranked by recoverable dollars, not gut feel
    • A clear picture of what “fixed” would look like
  2. Step 2: US$97

    US$97

    The do-it-yourself playbook

Want to fix it yourself, at your own pace? The exact step-by-step system I use with paying clients, written so a business owner can follow it, not an engineer. After checkout, 4 minutes of plain-English questions build it from your numbers, not a template.

    • A fill-in-the-blanks plan to map out your repetitive task
    • Ready-to-use AI instructions your team can copy, paste and run safely, with a human checking anything important
    • A 14-day checklist to test it on real work and know, with a number, whether it’s saving you money
  3. Step 3Flagship

    US$5,000–10,000

Done with you, in 4–6 weeks

You bring the problem. I bring 30 years of building. Together we take the repetitive task your audit priced and make it run itself: the O.P.T.I.M.A. Accelerator.

    • The task automated and running, connected to up to 3 tools your team already uses
    • One person on your team trained to run it: you keep the skill, not a consultant bill
    • Simple written instructions, so it keeps working even when that person is on vacation
    • A before-and-after scoreboard in hours and dollars: you see exactly what you got for what you paid
    • 30 days of support after handoff, included

After the build

Fractional Chief AI Officer

Companies that finish the program can keep me on as their part-time AI executive, the person who decides what to automate next, keeps it all safe, and makes sure the savings keep stacking. By invitation only.

Start the conversation

Measure first. Automate second. Prove it with a number.

The O.P.T.I.M.A. method, the same six steps, every time.

Accelerating a messy process only produces mess faster. So the number comes first, and a trained person on your team is the finish line.

  1. O

    Observe

I sit with your team and map how the task really gets done today: every click, every handoff, every wait.

  2. P

    Pick

We rank the steps: the ones that repeat exactly the same way get automated. The judgment calls stay with your people.

  3. T

    Translate

I turn the repeatable steps into automations and ready-to-use AI instructions your team can actually run.

  4. I

    Integrate

It plugs into the tools you already pay for: your accounts, your logins. Nothing new to buy.

  5. M

    Measure

We compare against week one: hours saved, mistakes caught, work getting out the door faster.

  6. A

    Adopt

One person on your team owns it, with written instructions. It’s yours. It works without me.

No hype. Real limits instead.

Every engagement runs inside limits designed to protect delivery, yours and mine.

One task at a time

A single repetitive task, connected to up to 3 of your existing tools. I don’t take “automate everything” projects. They fail.

Everything stays yours

Your accounts, your logins, your billing. When we’re done, you don’t need me to keep it running.

Pay as we deliver

A deposit, a payment when you approve the plan, the rest at handoff. You never pay for work you haven’t seen.

We agree on “done” before we start

In writing: what the automation must handle, who on your team is trained, and what the scoreboard shows. No moving goalposts.

A human always has the final say

The automation does the repetitive part. Anything unusual goes to your trained person for review. AI never makes a judgment call about your business alone.

I won’t promise you a number I invented

Anyone who guarantees “300% ROI” before seeing your business is selling a story. I help you calculate your real number, from your own payroll and your own hours.

Is this for you?

It’s for you, if

  • You run a US service business (5–100 people) doing US$20k+/month
  • One repetitive task eats 8+ hours of your team’s week
  • You can name one person to own it and provide access to your tools
  • You want a decision backed by measurement, not another tool subscription

It’s not for you, if

  • You want guaranteed ROI or headcount cuts promised up front
  • You want the whole company automated at once
  • Nobody on your side can give the pilot 4 hours a week

One task at a time. Not the whole company.

Three phrases run through everything I build and teach:

  • Measure before you automate
  • Proof in hours and dollars
  • One task at a time

Fair questions

We already use HubSpot / Salesforce / another CRM. Does that matter?

It helps. I build in the platform you already pay for whenever it’s capable. The audit asks what you use, and the Blueprint’s build plan is written for that platform. You only get a new-tool recommendation when you genuinely have nothing to build on.

What happens if the pilot doesn’t pass acceptance?

Acceptance criteria are agreed in writing before we build, and payments are tied to milestones. You don’t pay the final milestone for something that didn’t meet the criteria. We fix it, descope it, or you keep your money for that stage.

Who owns the prompts, automations and accounts?

You do. Everything is built in your accounts, under your name, with your billing. When we’re done you keep the workflow, the documentation and the trained owner. There’s no dependency on me to keep it running.

What do you do with my audit answers and email?

Your answers generate your report, and I’ll email you the report plus a short series of practical follow-ups. One click unsubscribes you from everything. Your data is never sold. The full details are in the privacy policy.
